New department assignment: choosing which departments each user sees, and where each template can be used, is now much faster from the user's and the template's profile.

• Hundreds of departments in a few clicks: search by name or code, filter by tags and click "Select matching" to assign every result, even across several pages.
• Review before saving: a panel shows what you are about to add and remove, and each change can be undone. Nothing applies until you click Save.
• Who sees what?: "View assigned" shows each user's departments and templates in one click, and where each access comes from.

Tables with pre-filled columns: each text column in a table can now hold a different value on every row, such as a list of products, batches or equipment.

• Locked columns: the auditor sees the value but can't change it.
• Paste from Excel: copy your list and paste it into the table; each line goes to a row.
• The checklist starts ahead: pre-filled values count as answered.

For example, in a cold room inventory the Product column comes filled in and locked, Batch comes filled in but can be corrected, and the auditor only ticks whether everything is right.

• Per template version: set it up under Reports, even if the version is already published or has checklists, and it applies to every checklist of that version. You can mark a whole category or everything matching a search.

• Copy another user's permissions: in the Permissions step, find someone with the setup you need and copy their full permissions, role included. Nothing is saved until you confirm.
• The invitation goes out at the end: the email is sent once the wizard is complete, so the person logs in with their departments, permissions and templates ready. The link is valid for 7 days and sign-up is verified with a 6-digit code.
• Invitation status in the list: see whether it has been accepted or the account is still "Not activated", and resend it with one click.
• Departments and permissions in one click: the shield icon in the user list opens that setup directly, without going into the user's profile.

You can still assign the password yourself if you prefer.

Departments in the mobile app: browse your departments from Home › Search › Departments. Every department assigned to you shows up as a card, with its main details, the recent activity of its checklists and the users who belong to it.

• Everything on one card: image, name, ID and code, location and tags, alongside the checklist counter and the latest checklist with its status, date and score, plus a red warning when it has open issues.
• Subdepartments: parent departments carry a hierarchy symbol. Tap their counter and the list shows only the ones inside, with a banner reminding you where you came from.
• Search, QR and filters: search by name or code across every level at once, scan a department QR code to select it instantly, and apply filters and sorting, including your saved filters and archived departments.
• Data window: three tabs covering the department identity and its badges, the latest checklists with status and issues, and who belongs to the department with their role and tags.
• Start without leaving the list: open the checklists already filtered by department, or create a new one with the department preselected.

• Images on questions: add images to any question description to give visual context to whoever fills in the checklist.
• Preset questions: a library of ready-made questions in the left panel that you drag wherever you need them.
• Outline menu: the full structure of blocks and questions at a glance, so you can jump to any of them without scrolling through the whole screen.
• Simpler conditionals and conditional map: setting up your logic is more direct, and a global view previews every conditional branch without opening question by question.

Switching over is not compulsory: templates open in the new editor, but you can go back to the previous one from the editor screen without losing any data or settings.

New Customization Options in Iristrace PDF Reports

The multiple checklist report exporter has been updated to adapt to the new reporting format.

Now, all users can mark checklists as favorites, which will automatically be pinned to the top.

In the Excel incident export document, several columns have been modified to make them more understandable. The Issue Status, Type columns have been added, as well as columns to know who has changed the status and when.

The options for exporting a report have been reorganized and redesigned, now they are categorized and presented in a more visual and easy-to-understand manner.

The functionality to archive checklists in Iristrace has been enhanced with options that offer greater precision and control.

Users can archive both the templates and all the associated checklists and action plans, ensuring their preservation and easy recovery.

If the option is not used, only the template will be archived, leaving the associated checklists and action plans in their current state and accessible.

Receive notifications and alerts from Iristrace instantly through Telegram.

To prevent configuration errors, the 'Manage user assignment' option will now be automatically disabled in the corresponding row if the general permission to 'View users' is not activated.

In the calendar view, the score obtained in the checklist is displayed, as long as it includes a scoring system.

In the checklist, a new feature has been introduced that allows for the display of labels in a column format.

Additionally, you can rearrange the order of the columns in this list using the drag and drop technique according to your preference.

Added the "View Users" permission to manage access to the user tab as well as user information in Iristrace. This feature enhances security and customization, applying individually to each user.

We introduce a new type of report in Microsoft Word format in Iristrace. These reports feature a refreshed design and improvements in customization, similar to the New PDF Reports.

Implemented the ability to disable users, allowing for the temporary or permanent suspension of accounts, while preserving the integrity of associated data. This feature respects the existing permission hierarchy (for example, an inspector cannot disable an administrator)

Three new options have been added for the export of the 'New Report':

1. Display user and creation date on the cover.
2. Display user and completion date on the cover.
3. Display author and date in the responses.

Corrected the error in printing categories in the PDF: unexpected scores were shown in templates without scores. Additionally, the score table is now displayed correctly.

SAP Business One: item lines on purchase invoices can carry their own G/L account when the template maps it, instead of the one SAP assigns by default. And when a delivery shows as failed but SAP has already created the document, the detail explains it and points to where the export can be reset.

Searchable PDF copy: scanned documents and images now get a PDF copy with the recognised text, which you can search and copy from.

• The document viewer shows the searchable copy.
• When downloading, choose the original or the copy, which carries the _searchable suffix.
• The copy is included in the ZIP export.

Outlook mailboxes under control:

• Test connection: check the mailbox from the form or the card, with a diagnosis pointing at the field to review. The test also runs on its own after saving and authorising.
• Status on the card: Operational, Error or Not verified, with the last error and its date.
• Processed folder: choose which folder emails are moved to once they've been read.

• In multi-page extractions, order line numbering carries on across pages.
• The processor card shows the extractor name, with the document type as a label.
• Previewing an IMAP mailbox no longer marks emails as read, and with no folder set the inbox is read.
• Document statistics only count what each user can see.

Images in the email body: a new per-process option to also read images embedded in the body of emails, not just attachments. It is off by default and is kept in workspace templates.

API keys: connect external systems to Iristrace Docs to read extracted data and move documents forward. Keys are managed from the connections hub, under "Data destinations", and only the owner sees them.

• Permissions per workspace and stage: View, Edit or Manage on each stage, plus a separate permission to promote documents.
• On behalf of a person: each key acts for an assigned user, and the document history says so.
• Log and limits: each key has its own activity log and request quota.
• Secure access: the key and its secret are exchanged for a temporary token; they never travel with every request.
• Public API documentation for integrators, in English and Spanish.

Extraction form: tick several rows of a table and delete them at once, with confirmation. What you edit is saved without being lost or rounded, even when you type fast: 1.25 stays 1.25 and 0.125 is no longer saved as 125.

Paginated lists: stages, roles, members, processors and API keys load page by page, with server-side search and the page size from your personalisation. Workspaces with hundreds of roles or dozens of stages stay smooth, and selectors no longer stop at the ten most recent processors. Stages are added from a dialog.

Extraction errors explained: when an extraction fails, the document shows a readable message with the AI provider's actual answer, including when the fallback model fails. Problems with the file itself (encrypted PDF, unsupported format, document too large) are told apart from model errors, since retrying won't fix them.

Mistral as an AI provider: a new connection with two ways of sending the document: "Direct (images)" and "OCR + text", which first reads the document with Mistral's OCR model and then extracts the data with a chat model. Each model field lists only the Mistral models able to do that job.

SharePoint as a document source: a process can now read documents from a SharePoint folder, as well as export to it. The connection is set as outbound, inbound or both.

• Folder picker: browse the connection's folders with the Browse button instead of typing the path.
• Only what's new: each file is processed once, and unchanged files aren't downloaded again.
• No loops: a process can't read the same folder it exports to.
• When editing the connection, leaving the secret empty keeps the saved one.

Duplicating a workspace copies each process with its stages, its fallback AI models and its ERP binding, and duplicating a process works again. If reassigning a document to another process fails, the message now explains why instead of doing nothing.

SAP Business One: improvements to document enrichment.

• Quantity-tiered prices: the item price is worked out from the quantity and the price list, and its source is shown; the tax code also shows whether it comes from the item or the supplier.
• More precise searches in large catalogues: every search word must match.
• Clearer error messages about the supplier tax ID and the lines, in all seven languages.
• Dimension selectors in the form show just the description, and the mapping saves correctly after changing the document type.

Outlook mailboxes in a single list: the three Outlook connection types (your own mailbox and the two Microsoft 365 variants) now sit together, each with a badge showing its variant, and a single button asks which one you want to add. Shared mailboxes are supported.

More reliable live updates: if the real-time connection drops, it recovers on its own and open screens catch up without a reload. Reprocessing or reassigning a document from its detail shows the new status straight away.

API keys for AI connections are no longer shown and can no longer be copied from the interface, and editing a connection no longer wipes the stored secrets. Password recovery no longer reveals whether an email exists.

A button to copy the line items table and paste it into a spreadsheet. The match list is paginated and sortable, with the option to unlink in bulk. When testing a SharePoint connection, the diagnosis says which field is failing and why.

Sales orders in SAP: on top of purchase invoices, sales orders are now generated from extracted documents, and the extractor suggests the SAP setup automatically.

Images are rescaled and compressed automatically to stay within the limits of the vision models, and error messages from AI providers are clearer.
